Where an AI financial assistant fits alongside ERP and accounting software

Assess AI through a real business question, existing system capabilities, data meaning and verified connections.

CaiGeekUpdated

Keep the business records and accounting systems already in use, then assess whether AI adds value to a specific task. Financial statements may already be available, while the owner still needs to understand which business changes drove profit, how a late customer payment would affect upcoming bills, or whether an operational adjustment is worthwhile.

An AI financial assistant should be assessed through this work: can it organize relevant records and company facts, perform the necessary checks and analysis, and deliver an understandable result that supports follow-up questions? An AI label does not establish that capability by itself.

Start with what your existing software already does

ERP, accounting software, reporting tools and AI assistants do not have absolute functional boundaries. Some ERP products already include financial analysis and AI. SAP's official description includes embedded AI, while Microsoft Business Central documents financial reporting, budget comparisons and ad-hoc analysis. It would be inaccurate to describe all ERP software as storing transactions without analyzing them. SAP ERP overview · Business Central financial analytics

Examine the version your business has actually purchased, configured and used, and identify work that still does not run smoothly. The following responsibilities can be handled by one system or by several tools working together.

Responsibility to keep clearTypical workWhat to assess
Business records and processesOrders, purchasing, delivery, inventory or project progressWhether actual transactions are recorded completely and approvals and statuses are accurate
Accounting and formal recordsVouchers, ledgers, closing and applicable reportsCompliance with the entity's applicable framework and reliable records and corrections
Organizing work around a questionExplaining differences, connecting additional facts, comparing options and following upWhether the business question is answered and the conclusion can be traced and corrected

Keep using the parts of the existing system that work well. An additional assistant should address a real gap, without making finance staff maintain two sets of records with different meanings merely to support another interface.

Test value with a question that spans several sources

Consider a wholesaler asking: “If we pay suppliers as planned next month, will that affect payroll and day-to-day expenses?” This is an illustrative situation, not a customer case study.

The ERP may contain purchasing, payable and inventory records; accounting software holds the books; bank records indicate available funds. Updated customer payment arrangements may also be in contracts or confirmed operational records. A closing receivables balance does not establish the dates on which cash will arrive, and an income statement does not establish when bills must be paid.

A useful assistant would connect the relevant facts, explain expected receipts, required payments, adjustable items and material unknowns, and compare the effect of a key receipt arriving late. An unconfirmed collection date must remain an assumption, rather than becoming an invented date used to complete a chart. The cash-planning guide explains the underlying approach.

For a service business without inventory, relevant evidence may instead include project delivery, staff effort, contractual collection terms and payment commitments. The method should follow the business; every company should not be asked for the same inventory or product schedules.

Connections depend on actual support and authorization

Identify the specific system, business account, accessible records and current objective. A supported, authorized application connection may retrieve records for the task. Ongoing file sources, authorized browser or computer-application access, and user-provided files may also be options. Each route needs verification. A claim to “connect to ERP” does not establish support for every vendor, version or deployment.

If a connection is unavailable, an appropriately scoped export may support the first analysis. Retain its source, period, filters and extraction time. A file that supports one analysis does not establish automatic future updates. Conversely, a source that keeps updating does not authorize every possible follow-up task.

Tools should interpret fields and business relationships from the available evidence wherever possible, with finance staff checking interpretations that affect the conclusion. Users mainly provide necessary facts and authorization; they should not have to design field mappings or write extraction programs first. When a tool cannot interpret something reliably, identify the specific gap instead of presenting a guess as a completed connection.

Check meaning before combining figures from different systems

Differences often reflect different measures rather than a calculation error: sales orders versus performed transactions, tax-inclusive totals versus revenue excluding tax, transaction dates versus posting dates, or different entities and currencies. Explain the definitions and relationships before deciding how to compare them. Do not change figures merely to make reports agree.

Records stored in an ERP can still contain omissions, duplicated exports or later corrections, and access remains subject to actual permissions. Important conclusions should be traceable to the sources, scope and calculations used. Where a field's business meaning is unresolved, preserving that uncertainty is more useful than supplying a plausible explanation.

Using AI for analysis should not silently extend to changing the formal books, making payments or filing returns. Those actions require separate confirmation of capability, permissions and explicit instructions. Features described for an overseas software product also do not establish its suitability for a mainland Chinese entity's accounting and tax obligations.

Use one complete task to decide whether to continue

Choose a live business question, such as explaining a change in project contribution or assessing a delayed receipt. Ask finance staff and the owner to read the same result and consider practical questions:

  • Can important figures be reconciled to the original systems and supplied records, with differences explained?
  • Are actual events, inferences and plans distinguished, rather than possibilities presented as conclusions?
  • Can finance staff review the treatment, and can the owner understand the implications and available actions?
  • When corrected information arrives, can the result be updated for the same question with its necessary sources retained, without re-entering the entire dataset?

These observations say more about suitability than a demonstration page, the length of generated prose or promised time savings. Efficiency and reliability need to be observed in your own work; another company's marketing figures are not your results.

CaiGeek's relationship with existing systems

CaiGeek is an AI financial assistant for small and medium-sized businesses in mainland China. It organizes work around natural-language questions, actual business records, data and company memory. Its development direction includes several ways of obtaining data, professional analysis and decision support, ongoing work and appropriate deliverables. Specific available functions and connections depend on what has actually been released and verified.

Current professional work still involves the company's finance staff, or CaiGeek finance personnel participating under an actual service agreement, in operation, judgment and review. Convenient results for owners should not be interpreted as a present claim to replace accountants completely. Read the professional-collaboration guide and the CaiGeek website for the product context. Start by checking whether a tool can solve one real question on top of the work your business already does.
