1. Scope
This policy applies to the CaiGeek website and product services we provide. Third-party platforms you connect to, visit or pay through process information under their own rules; our processing remains subject to this policy.
Business materials may contain personal information about customers, employees or others. Provide that information only with the necessary authorization or another lawful basis, and limit it to what the task requires.
2. Information and purposes
Accounts and security: phone number, name, credential digests, sessions and necessary security records are used for registration, login, recovery, member identification and service security. Passwords are stored as irreversible hashes.
Conversations and work: messages, files, images, authorized business data, and the memory, calculation records and results created during work are used to understand requests, carry out tasks, follow up and deliver results.
Connections and voice: when you connect a source, we process the information needed for authorization and access. Voice input processes audio and recognized text for transcription and conversation. Permissions depend on your choices and the functions you enable.
Orders and usage: plans, seats, payment orders, renewal authorizations and usage records are used to provide subscriptions, reconcile payments, process refunds and manage entitlements. Customer pages show plans, billing periods and remaining usage.
Contact and feedback: contact details, issue descriptions and feedback you provide are used to respond, resolve service issues and improve the product. Submitting feedback does not automatically expose an entire conversation or original materials.
3. Website cookies and referral measurement
The website uses first-party cookies for website sessions and records a random visit identifier, landing page, arrival time, referral category and approved public campaign summary along with contact-widget opens, successful email-address or WeChat ID copies, and email- or phone-link clicks, to understand website visits, use of contact options and registrations. After successful registration, the referral record may be linked to that account to verify conversion.
Referral measurement does not store full external referral paths, search terms or arbitrary campaign parameters, and it grants no access to business materials or conversations. You can manage or clear cookies in your browser, which may affect session continuity and referral recognition.
4. Private content, teams and sharing
Uploads are private by default. You can choose to share with named members or the team and grant use or management permissions. Team administrator status does not automatically grant access to members’ private conversations or materials.
Sharing a result grants access only to its current content, not source materials or the author’s private conversations. Authors can close external read-only links. Revoking sharing or membership restricts future access; it does not automatically erase independent results lawfully retained by other authorized parties.
5. Service providers and third-party connections
The providers below support the relevant functions. Data is processed through service interfaces within the scope necessary for those functions. Voice, SMS and connection processing depends on the functions you enable or request.
When you connect another platform, its authorization scope and personal information rules also apply. Where information is provided to another controller, sensitive personal information is processed, or information is transferred outside mainland China, we will fulfil applicable notice, consent and other legal requirements.
If we add or change model or other service providers, we will update this policy and the processing list. Material changes to purposes, scope or personal information rights will receive the notice and other procedures required by law.

6. Protection and retention
CaiGeek uses Tencent Cloud for its cloud service and data storage, with storage located in China. Platforms you choose to connect have their own storage and processing rules; connecting them does not expose all CaiGeek data to those platforms.
We protect information through authentication, permission checks and separation of credentials from business content. Retention is limited to what is necessary to provide services, fulfil agreements, resolve disputes and meet legal requirements, considering the purpose, account and service status, user requests, transactions and legal retention duties.
Analysis materials you choose to retain remain stored, subject to storage limits: 10 GB for a personal plan and a shared 10 GB per active team seat. You can delete materials you are authorized to manage. Storage capacity is a space limit, not an expiry period.
Conversations, materials, memory and results follow their respective retention and deletion states. Disconnecting a source does not automatically delete received materials, and deleting materials does not delete every existing report. Backup recovery and shared assets require handling according to their retention state. Signing out does not delete data.
7. Access, correction, deletion and account closure
You can use product controls to manage your account, materials and sharing, or email service@caigeek.com to request access, copies, correction, completion, deletion or account closure. Describe the request and relevant account. We will verify identity as needed and explain the outcome or the specific reason a request cannot be fulfilled.
Deleting materials you are authorized to manage through storage management handles originals and related derived copies; existing reports and independent results retain their own status. Account closure requests restrict account access. We verify the scope when handling personal information removal, team assets and records subject to legal retention.
Withdrawing authorization does not affect processing previously performed under valid authorization. Where retention is legally required or immediate deletion is technically difficult, we will restrict processing as required by law rather than describe retained information as fully erased.
8. Children and minors
CaiGeek is intended for business and work, rather than for minors. If you believe we have processed a minor’s personal information without the necessary authorization, contact our service email so we can investigate and act as required by law.
9. Updates and contact
Policy updates are published on this page. We will provide appropriate notice of material changes to purposes, information categories, sharing scope or your rights, and obtain consent where legally required.
