Douyin refunds: reconcile affiliate commissions and platform fees to settlement
Reconcile Douyin order refunds, affiliate commissions, merchant platform fees and actual settlement credits.
A Douyin campaign can produce a paid-order export, an after-sales report and several settlement statements. A customer refund may be complete while the affiliate commission has not fallen by the amount the merchant expected. In another batch, a platform service fee may be credited back while a separate promotion fee remains. Treat the customer refund, commission adjustment, merchant platform fee and actual account credit as separate events.
This guide is for merchants and finance or operations teams reviewing Douyin ecommerce in China, including overseas colleagues receiving reports from a China store. Douyin is not TikTok. Affiliate promotion fees, merchant platform technology-service fees, group-leader charges and store-operation service fees have different parties and potentially different bases, rules and timing. Check the rules and agreement applicable to each transaction rather than applying one refund assumption to every fee.
Separate estimates, settlement and cash received
Douyin's pending settlement guide distinguishes estimated settlement from the final statement. Refunds, order status and promotion terms can change an estimate; use the settlement statement to check the amount actually processed. Pending-settlement views show in-transit orders: a completed settlement or full refund may no longer appear there, and statement production can lag the event.
| Record | What it answers | What it does not establish on its own |
|---|---|---|
| Paid order | What the customer paid and when | Final settlement, accounting revenue or profit |
| After-sales record | Which items and amounts were successfully refunded, and when | That all commissions or service fees were returned |
| Affiliate promotion fee | Original commission, adjustments, settlement and recovery | The creator's final take-home amount or the merchant's platform fee |
| Platform and other service fees | Merchant technology fees and any group-leader or service-provider charges | The separate technology fee charged to a creator |
| Settlement and account activity | When and where an adjustment actually posted | That the money has reached the merchant's bank |
Choose the same store, order cohort, currency and cut-off before comparing reports. Keep order and sub-order references, creator identity, campaign or agreement reference and transaction dates. A refund posted in a later settlement cycle should not be reconciled by subtracting unrelated monthly totals.
Work through one order cohort
Assume a merchant's cohort has an eligible commission base of RMB 1.2 million, an already settled affiliate promotion fee of RMB 120,000 and an already charged merchant platform technology fee of RMB 60,000. The implied 10% and 5% rates are assumptions for this cohort, not standard platform rates. There are no subsidies, shipping charges or other adjustments in this calculation; use the actual applicable base and rates for a real reconciliation.
Subsequently, refunds corresponding to RMB 240,000 of that base have completed. Assume the applicable rules and agreement have been checked for this cohort and permit both fees on the refunded portion to be adjusted proportionately. The expected affiliate adjustment is RMB 24,000, and the expected merchant technology-fee adjustment is RMB 12,000. At the review date, account activity shows RMB 18,000 of affiliate-fee credits and RMB 12,000 of technology-fee credits.
| Reconcile the same cohort | Affiliate promotion fee | Merchant technology fee |
|---|---|---|
| Original settled or charged amount | RMB 120,000 | RMB 60,000 |
| Expected adjustment under the checked assumptions | RMB 24,000 | RMB 12,000 |
| Credit actually shown in account activity | RMB 18,000 | RMB 12,000 |
| Difference still to investigate | RMB 6,000 | RMB 0 |
Using only the credit already posted, the affiliate fee is RMB 102,000. If the remaining RMB 6,000 is later returned in full, it becomes RMB 96,000. The outstanding amount is an expected difference under the stated assumptions, not cash already received or proof that the platform owes the merchant. Check timing, partial-refund treatment, eligibility, account balances and the applicable agreements before escalating.
If the original settlement contained only these items, the merchant initially received RMB 1.02 million. After paying the RMB 240,000 customer refunds and receiving RMB 30,000 in fee credits, the cohort's cash bridge is RMB 810,000. It reaches RMB 816,000 only if the remaining RMB 6,000 is actually credited. This bridge excludes product, fulfilment and other costs; it is not a profit or tax calculation.
Reconcile each fee with its own evidence
Affiliate promotion fees. Match the creator relationship, agreed basis, original settlement and individual refunded orders. Look for negative adjustments or later recoveries. Estimated commissions, the merchant's actual expense and the creator's proceeds after their own charges need not be the same. A refund percentage cannot automatically be applied to every commission line.
Merchant technology-service fees. Check the charges deducted from settlement against the applicable orders, period, promotion terms and after-sales status. Douyin's public merchant technology-service-fee notice describes fee returns for specified after-sales circumstances. Verify the version effective for the transaction and its conditions. An adjustment to this fee does not establish how an affiliate commission was treated.
Group-leader or operation-provider fees. Confirm the service period, fee base and agreement. Douyin's settlement-based CPS rule for operation providers concerns a specific cooperation model; it should not be assumed to govern every separately negotiated fixed placement fee. For fixed or offline payments, review the contract and actual service performed.
Turn differences into a follow-up list
- Preserve the original order, after-sales, affiliate-fee, platform-fee, settlement and account exports, with store, extraction time and definitions.
- Match each completed refund to the order or sub-order, original fee and each subsequent negative adjustment. Track repeated partial refunds individually so one refund is not deducted twice.
- Label each line as posted, expected, pending settlement, requiring confirmation or not applicable. Mark a fee credit as received only when account activity supports it; match withdrawals to bank statements where bank receipt matters.
- For timing differences, unexplained amounts or ambiguous agreements, retain the order reference, refund completion date, original fee and relevant rule, then follow up with the platform or counterparty.
A settlement reconciliation is distinct from accounting revenue recognition, invoicing and tax treatment. Those depend on the actual selling entity, transaction facts, evidence and applicable rules; a settlement or refund date alone does not determine the answer.
