Summary
A finance provider can test the actual client files—orders, payouts, bank statements, and inventory—before accepting them for processing. Caigeek runs a pre-handover file test on those four document types and returns a field map with an exception list before entry work begins.
Start selection with the files, not the sales claim
Marketplace and storefront reports do not serve the same purpose. A Shopify orders export carries transaction-level detail such as payment method and transaction kind, which indicates whether a line is a sale, refund, or authorization. A Shopify payout export can show total fees for each payout, pending transactions, funds received for an individual order, and fields such as adjustment, refund, order number, payout status, and fee.
Those files let a buyer ask concrete selection questions. Can the provider read the transaction kind in the Shopify order export? Can it map the order number in the Shopify payout CSV? Can it preserve payout status and fee fields rather than reducing the export to a single deposit total?
Supporting documents remain part of the accounting record
IRS Publication 583 states that purchases, sales, payroll, and other business transactions generate supporting documents such as sales slips, paid bills, invoices, receipts, deposit slips, and canceled checks. Those documents contain information used to record transactions and support entries in books and tax returns.
The same publication says a recordkeeping system should include a summary of business transactions in books such as journals and ledgers, together with supporting documents. For a United States business using electronic files, the source document and the resulting book entry therefore need to remain identifiable.
What the pre-handover test can check
The test operates on client-provided files and checks whether the fields can support the proposed work. Shopify order exports can be inspected for documented payment-method and transaction-kind fields. Shopify payout exports can be inspected for the documented order, payout-status, transaction-type, and fee fields.
Bank statements and inventory records are retained as separate client inputs. The test maps the available identifiers and records an exception where a source file or linking field is absent, rather than inventing a field or assigning an unsupported cause.
- Order input: documented transaction kind and available order identifier.
- Payout input: documented order, payout status, transaction type, and fee fields.
- Bank input: the client-provided statement and its available deposit references.
- Inventory input: the client-provided movement record and its available identifiers.
Test retrieval and traceability, not just file presence
IRS Publication 583 notes that electronic storage systems maintaining tax books and records must index, store, preserve, retrieve, and reproduce legible records. It also says computerized records must provide enough detail to identify underlying source documents.
A selection review can therefore ask the provider to demonstrate how a retained Shopify export is indexed, how a payout line is retrieved, and how the underlying file remains identifiable in the intake map. The IRS guidance is United States federal recordkeeping guidance; it is not presented here as a rule for every jurisdiction.
What Caigeek tests and delivers
Caigeek takes in four client-provided file sets: marketplace or storefront orders, payout reports, bank statements, and inventory movement records. The pre-handover test maps fields across the documents and identifies the available links between order, payout, bank, and inventory records.
The intake deliverable is an exception list and field map. Caigeek returns a record of what the supplied files support, which identifiers are available, and which missing files or fields require a new export or additional client evidence before processing.
FAQ
Which Shopify fields can a provider test before handover?
Shopify documents order transaction kinds such as sale, refund, or authorization, and payout-export fields including order number, payout status, adjustment or refund, and fee.
What does IRS Publication 583 say about supporting documents?
Publication 583 says purchases, sales, payroll, and other transactions generate supporting documents, including sales slips, bills, invoices, receipts, deposit slips, and canceled checks, that support entries in books and tax returns.
Does Caigeek's file test guarantee that the books will reconcile?
No. The test maps the client-provided files and identifies exceptions or missing support before processing; it does not guarantee a reconciliation result.
