Why Doesn't My Tmall Settlement Report Match My Sales Revenue?
Short answer: your Tmall settlement report does not match sales revenue because the two numbers answer different questions. Revenue measures sales earned under the company's accounting policy. Settlement measures money currently payable by the platform after refunds, fees, advertising, reserves, and other adjustments.
A third number, the amount received in Alipay or the bank, can differ again because some settlements remain in transit. Tmall gross merchandise value, accounting revenue, platform settlement, and bank cash should be connected by a reconciliation bridge, not forced into one figure.
1. First separate the four numbers
When a finance team says “Tmall sales,” the commercial team may be looking at paid orders, the accountant may mean revenue excluding VAT, treasury may mean the net settlement, and the owner may mean the bank receipt. All four can be correct for their own purpose.

Alibaba's official developer documentation describes e-commerce finance as a combination of reconciliation, profit analysis, financial statistics, expense management, and bill management. Its reconciliation documentation also distinguishes order information from funds bills and lists deductions such as commissions, points rebates, and freight insurance. That structure itself explains why one report cannot serve every accounting purpose.
2. Nine reasons Tmall settlement does not equal revenue
1. Paid orders and recognized revenue use different cut-off events
A paid order is not automatically revenue on the payment date. Depending on the transaction terms and accounting policy, recognition may depend on shipment, customer receipt, completion of the return window, or another point when control transfers. Orders paid near month-end can therefore appear in the Tmall commercial report before they enter accounting revenue.
The reverse can also occur. Revenue may be recognized before the platform releases cash, leaving a valid platform receivable at month-end. Treating every open settlement as an error would understate both revenue and receivables.
2. Cancellations and refunds may fall in a different period
A June order can be refunded in July. The July settlement report may deduct the refund even though the original revenue was recorded in June. If finance compares July settlement only with July orders, the prior-period refund looks like unexplained missing cash.
A proper refund schedule connects the original order, refund request, approval date, return receipt, platform deduction, inventory movement, invoice reversal, and accounting entry. Refund rate alone is not enough.
3. GMV can include VAT, while accounting revenue excludes it
China's VAT Law, effective from January 1, 2026, states that VAT is an extra-price tax and that the taxable sales amount excludes VAT. For an ordinary goods sale by a general VAT taxpayer, 13% is a common rate, although the actual rate and treatment depend on the product, seller, transaction, and taxpayer status.
If the order amount is VAT-inclusive, dividing it by 1.13 is not a platform deduction. It is a classification between accounting revenue and output VAT. Small-scale taxpayer treatment, simplified methods, exemptions, mixed supplies, and special products require separate analysis.
4. Seller-funded coupons and platform-funded subsidies are not the same
A seller-funded coupon usually reduces the amount the customer pays to the seller. A genuine platform-funded subsidy may create a separate receivable from the platform rather than a reduction of customer consideration. Campaign labels alone do not determine the accounting.
Finance should retain the campaign rule, funding party, order-level discount allocation, settlement line, invoice treatment, and tax support. Otherwise, the same “coupon” field can be classified differently by operations, platform reports, and the general ledger.
5. Platform service fees are expenses, not negative revenue by default
Technical service fees, commissions, software fees, and other platform charges may be deducted before cash is released. The net settlement is therefore lower than the gross customer consideration. Unless the contractual and accounting facts support net presentation, posting only the settlement as revenue can understate both revenue and operating expenses.
6. Advertising and marketing consume settlement cash
Paid traffic, campaign resources, affiliate commissions, and other promotional services can be funded from the same Alipay balance used for settlement. This creates a cash deduction but normally belongs in selling or marketing expense, subject to supporting documents and the company's accounting policy.
The advertising report also needs its own bridge: opening prepaid balance, recharge, campaign consumption, refunds or credits, invoice amount, closing balance, and cash payment. A single monthly expense export rarely proves every one of those balances.
7. Freight insurance, logistics, and other order-level charges create additional lines
Freight insurance, return freight, warehouse services, logistics adjustments, and delivery charges may be billed per order or in batches. Alibaba's reconciliation guidance specifically points merchants to funds bills for categories such as commissions, points rebates, and freight insurance. The accounting system needs to map each platform code to an expense, asset, liability, tax, or receivable account.
8. Reserves, deposits, penalties, and manual adjustments affect timing
The platform may retain a reserve, freeze an amount under a dispute, replenish a deposit, or process a penalty or compensation. These items reduce immediately available cash but are not all current-period expenses. A recoverable reserve can remain an asset; a deposit can be reclassified; a confirmed penalty may be an expense. The settlement description and supporting rule determine the entry.
9. Report scope, account mapping, and timing can be inconsistent
Teams often compare one store's orders with a combined Alipay account, use order creation date for one file and settlement date for another, or omit a sub-account. Other common causes include duplicated downloads, canceled orders retained in the order export, currency rounding, settlement batches crossing midnight, and a bank transfer posted one business day later.
Before investigating a numerical difference, lock the store ID, seller entity, Alipay account, report time zone, date field, order status, refund status, and unique transaction keys. Most “mystery differences” become ordinary mapping issues once the scope is consistent.

Assume a Tmall store shows RMB 1,500,000 of VAT-inclusive paid orders for the month. Finance identifies RMB 80,000 of canceled or unfulfilled orders, RMB 120,000 of valid refunds, and RMB 50,000 of seller-funded coupons. The net VAT-inclusive customer consideration is RMB 1,250,000.

The four headline figures are therefore all different: RMB 1,500,000 of paid orders, RMB 1,106,195 of accounting revenue excluding VAT, RMB 1,065,000 of settlement receivable, and RMB 1,000,000 of cash received by month-end.
The settlement deductions above are cash-flow amounts before considering the supplier invoice, input VAT eligibility, accrual timing, and final account classification. They should not be copied into an expense ledger without document-level review.

China's current platform tax reporting rules reinforce the need for this bridge. The official reporting specification separates gross income, refund amount, and net income. It also states that reported gross income includes price plus VAT and is not reduced by commissions or service fees. That platform reporting figure is therefore not automatically the same as accounting revenue, taxable sales, profit, or cash received.
The difference must be explainable. Under China's Accounting Law, accounting is based on actual economic transactions and covers revenue, expenses, costs, profit, assets, and liabilities. A net bank receipt alone cannot show all of those elements.
5. A reliable monthly Tmall reconciliation workflow
- Lock the scope. Record the legal seller, Tmall store ID, Alipay account, bank account, reporting time zone, date field, and opening balance.
- Export order evidence. Capture original orders, discounts, payment, fulfillment, cancellations, after-sales status, and unique order identifiers.
- Build the revenue bridge. Move from paid orders to recognized VAT-inclusive consideration, then separate accounting revenue and VAT.
- Build the refund schedule. Link every refund to the original order, accounting period, inventory return, invoice reversal, and settlement deduction.
- Classify settlement lines. Map every funds-bill code to revenue, expense, asset, liability, tax, or intercompany account. Do not leave a permanent “platform difference” bucket.
- Reconcile advertising separately. Bridge recharge, consumption, credits, invoices, prepaid balance, and cash source.
